Combining Same data in tow colums

I handle all the manuals for a large insuranbce company. My problem is I have a report that shows me manual information on terminater employees. the report has two column (employee name and contact name). I need to be able to merge the contact data with the employee data in a mail merge in Microsoft word. Here is the problem sometimes the terminated employee will have more than one manual, the spreadsheet shows the same contact for the employee however many times a manual is assigned. I want to only place the contact in a Microsoft Word field one time with the number of manuals assigned to that contact.
I kno this is not an easy one.
If anyone knows or has any ideas, please let me know.

Hi Jack, Maybe u should try a pivot table on ur data. Place name and contact on the row field, in that order. Double click them and and select none in the subtotal option. Back in the pivot table wizard place the contact field also in the data field, double click it an select count. Run ur pivot and u get a table with employee name, contact name and even the number of repetitions each combinations shows
