    Hi,

    I have seen that it is possible to use a pull down menu for a particualr cell which shows all possible values. These values are defined in another part of Excell. Could anybody tell how to create a pull down menu, many thanks in advance.

    Let A2:A10 in Sheet1 house a list of items that you want to display in some other cell, possibly in another worksheet, as a dropdown list from which a selection can be made.

    (1.) Select A2:A10.
    (2.) Go to the Name Box on the Formula Bar.
    (3.) Type, e.g., SList (from source list) and hit enter.
    (4.) Activate the target cell where you want to have the dropdown list ("menu").
    (5.) Activate Data|Validation.
    (6.) Choose List for Allow.
    (7.) Enter the following in the Source box:

    =SList

    (8.) Click OK.

    Advanced Note. If A2:A10 is part of a larger data area that already has a name, say DTable, you can use this existing name in data validation instead of creating a new name by entering the following in the Source box...

    =INDEX(DTable,0,1)

    which will show all items in column 1 of DTable.

    )Prepare the list you want to appear in the drop down then highlight the Cells where you want the drop down list to be available. With these cells still highlighted
    2)click on DATA (the word DATA on the top tool bar),then select Validation. Click under the ALLOW button to view the list of choices available select LIST from this.
    3) Click in the SOURCE box then on the sheet where your list is click on the top cell of the list you prepared earlier then while holding down the shift key click on the last cell in the list .
    4) Excel will have entered the cell names in the source box for you (you can type in the cell range if you wish).
    5)Return to the sheet and the drop down list will appear when any of the cells you validated are selected.

    The above is only the basic proceedure if you wish a bit more advanced plese check this out then reply.
