if a dimension falls out of tolerance i want the text in red, conditional format doesnt help due to the changing tolerances on each line. i willl have several hundred lines to check.

I'm not sure why you say conditional formatting can't help: it can check the tolerance columns in each line without any problem.

Set the conditional formatting on cell F3, Use a formula, as follows:-

=OR(F3<$D3,F3>$E3)

then Copy the cell and Paste Special > Formats onto the rest of the range in columns F to J.

Is that it?

Unless I have mis-understood the brief, that shouldn't be a problem. I've selected F3:J9 and applied the CF shown.

me again,
you must get fed up of idiots like me who don't really know much, i have tried the formulas you gave but still no joy.
i applied the CF , but when i put in numbers that were in range or out of range they stayed the same colour red?
any chance of a sample sheet with the formatting on so i can copy and paste until i get it right. by the way my data starts on line 26 if that is making a difference although i changed the cell numbers in the formulas you gave.

Set the cells to black manually and allow the CF to turn them red if the condition applies. The cells have to start out as black.

Also be aware that if your numbers are displayed to two decimal places but actually have values with more than two decimal places, CF will compare their full values, not just the digits which are displayed.

they were black to start with, looking at the formulas you have given i don't understand why you are using D3 in any calculations.
try and use this for me to make it easier for an idiot like myself

as i type number into column c if that numbers falls in between the number in a and b then it stays black, if it falls out of the range in a and b it turns red, i need to be able to copy/drag the formula through hundreds of lines.

Changing your row references all the time makes keeping up tricky!
Your original screen shot did not show row numbers or column letters but your actual data appeared to start in row 3 with the Lower & Upper Tolerances in the 4th and 5th columns respectively. That's why we all used $D3 and $E3 in our suggestions. You then said your data actually starts in row 26 but your latest sample appears to start in row 1.

Anyway, for the latest sample try this.

1. Put the values in A1:C4 per your sample and ensure the font is set to black.

2. Select C1 and apply the CF as shown below. Be careful where you place the $ signs.

3. With C1 still selected, click the Format Painter (paintbrush icon)

4. Click on the column C header letter (C) and drag across as many columns as you want the Conditional Formatting to apply to before letting go of the mouse button.

5. Now try entering/changing values and see if they change colour appropriately.
