combine information from different sources

I have a pivot table based on a sales report imported from QuickBooks that shows the total # of New sales and the total # of Renewal sales.

Then I receive from the sales assistant the # of Renewals that cancel and the # of prospects that decline. These #'s come from a data base that I don't have access to so they have to be manually entered.

I need to produce a report that shows their actual # of new sales vs their goal and their retention rate for renewals. Then turn these #'s into a chart.

What is the best way to do that?
