HI - I'm not sure what this function is called, but I have seen other spreadsheets that are very long, and what has been done is to have a + or - button so it will expand the rows underneath. For example, Column A Row 1 would have Blue and Gold Banquet. Column B Row 1 would have the total cost from Rows 2-5. Row 2 and 5 would be suppressed underneath until that button is clicked. That way, there could only be maybe 12 rows (once completed) each reflecting a total cost, but, to drill down you can click the expansion button to show all of the subtotal costs etc? I've already received some great help on something else, does anyone have a suggestion?

Excel Facts

Select a hidden cell
Somehide hide payroll data in column G? Press F5. Type G1. Enter. Look in formula bar while you arrow down through G.
I think what your looking for is advanced filters...I forget exactly where in older versions of exel (maybe data->filters->advanced filters?) but in excel 2010 on the homet tab there is a sort and filter option that migth help you out.

Welcome to the Board!

That's called Grouping & Outlining. Select the range of Rows you want to group then goto Data-->Group, which is on the Outline tab. Once you apply the grouping you'll have the expansion buttons.

If you want category totals, then you'd use Data-->Sub-Totals.

HTH,

That's cool! Thank you very much, half the problem sometimes is knowing what it's called. Thanks again!
