Help with a document for recruitment projects

I work for a recruitment company and we project manage all of our roles.

As a new Project (job) comes in I add it to a spreadsheet along with Client, Job Title info.
As we progress with recruiting the Project, I add candidates on each line. As the candidate moves to Interview stage, they are moved across the spreadsheet.

As we have 100 plus Projects and 200 plus candidates, sometimes as many as 5 per Project, the spreadsheet becomes a real piece of art! I refer to this as my Master PM doc.

For reporting purposes, I have another spreadsheet PM Status doc, which is set up making use of VLOOKUP formulas, and by reference to the Project number, pulls in the number of CVs, Interviews for each Project. That's all okay.

Help & Suggestions

I would really appreciate help and/or suggestions with setting a document up that will pull through the candidates per role, so I can see the Project number, Client, Job Title, Candidates by name, Candidates set for Interview etc
I know there's PM software out there but this is liquid and can change depending on the needs of the business. I just cant think of a way to collate the info I need without a lot of pain.
