Including values in a pivot table even if there are none to be counted

Hi,

I am using pivot tables to count up and analyse grades in lists (grades A,B,C,D,E,U)
I would like to be able to include all 6 possible grades in the final table and the final chart, even if there are no instances of that specific grade in the relevant data list. This is so all my final charts look similar and can be compared.

So, for example, the pivot table would look like this

A 10
B 15
C 11
D 0
E 12
U 0

rather than

A 10
B 15
C 11
E 12

Apologies if this has been asked before but I am at a loss at how to craft appropriate search terms!

To do that you just need to add the missing grades with zero or blank values to your pivot table's source data.

Try checking the "Show items with no data" option under the field settings for your Grade field.

If no-one has a grade D on the list, what do I add and where in order to get a zero count for D on the pivot table?

I did this for one set, which was missing U, and it appeared, which I found frankly amazing - how did it know it was missing a U, of all things?

Then I did it for some others, which were missing other grades (such as A), and they didn't work.

All the different data sets are multiple sheets in the same workbook, with each linked pivot table in a different sheet too. I'm using Excel 2007.

Any thoughts?

If that data is in the range A1:C8, the formula in C2 is:

=IF(ISTEXT(A2),1,0)

copied down.

Then have Name and Grade as row fields and Sum of Count as the data field.

Alternatively, if you only have Grade and Count of Grade in your pivot table, and "Show items with no data checked" add the missing ones to the bottom of your list like this:

Refresh the table then delete the dummy rows. The items will still be there unless you remove and reinsert the grade field.
