Why does 9 mean SUM in SUBTOTAL?
It is because Sum is the 9th alphabetically in Average, Count, CountA, Max, Min, Product, StDev.S, StDev.P, Sum, VAR.S, VAR.P.
Na that did not work , i have however noticed an error msg that says...moving or deleting cells caused an invalid cell reference... ? but all i changed was the sheet tab names ? any other ideas

It is usually necessary to have all the workbooks open if you want Excel to "keep up" with the changes automatically - in fact, make sure all the workbooks are open any time any structural changes are made (adding rows, deleting columns, changing tabs or file names).
