Movement between workbooks

Thinking I already know the answer, but hoping I don't.

I have a workbook that uses a Master Data Flow Sheet (A-FH) to funnel information onto 7 other tabs.
The Master Data Flow Sheet tracks students through a 2 phase program.
Phase I generally starts with 50-70 students.
Phase II is 40-60 students on average (not necessarily the same students that started Phase I).
I use 10 of these workbooks per year (workbooks do not feed into each other).

The Master Data Flow Sheet has a lot of formatting and formulas that is protected to avoid having to rebuild this thing and decrease the chance of human error (there are about 30 protected formulas for each student).

There are times where a student will complete Phase I of one class (class 001) but then be moved into a different Phase II (class 002) due to space at Phase II site.

I need their Phase I information to follow them throughout the entire program but I'm having difficulty moving student information from one workbook to another without having to cut and paste 20 different times per student. I would prefer not having to unprotect the document whenever I move a student to another Phase II class, but can't seem to find a way to do so.

Any ideas?
