Q: Date Range formatting and DATEVALUE

Hello all,

I am sad to say I'm at wits end on this one. I automate my spreadsheets as much as possible and this one seems simple yet keeps escaping me.

I have two sheets, Sheet1 has a date range and the Sheet2 has a header that needs to display the range of dates from the first sheet (ie. "3/15/2010 - 3/25/2010". The dates on the first sheet are usually sequential, but sometimes there are multiple representations of the same date on the first sheet and vary in order and number of rows (1-10) hence the MAX function below:

Sheet 1
A1:3/15/2010
A2:3/16/2010
A3:3/16/2010
A4:3/17/2010
A5:3/18/2010
A6:3/19/2010

Sheet 2 (the cell where I need the formatted range)
='Sheet1'!A1&" - "&MAX('Sheet1'!A1:'Sheet1'!A10)

But it gives me this in the cell as the output:
<TABLE style="WIDTH: 118pt; BORDER-COLLAPSE: collapse" cellSpacing=0 cellPadding=0 width=157 border=0><COLGROUP><COL style="WIDTH: 53pt; mso-width-source: userset; mso-width-alt: 2596" width=71><COL style="WIDTH: 11pt; mso-width-source: userset; mso-width-alt: 512" width=14><COL style="WIDTH: 54pt; mso-width-source: userset; mso-width-alt: 2633" width=72><TBODY><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: #d4d0c8; BORDER-TOP: windowtext 0.5pt solid; BORDER-LEFT: #d4d0c8; WIDTH: 118pt; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" width=157 colSpan=3 height=17>40252 - 40256</TD></TR></TBODY></TABLE>

Instead of:
<TABLE style="WIDTH: 118pt; BORDER-COLLAPSE: collapse" cellSpacing=0 cellPadding=0 width=157 border=0><COLGROUP><COL style="WIDTH: 53pt; mso-width-source: userset; mso-width-alt: 2596" width=71><COL style="WIDTH: 11pt; mso-width-source: userset; mso-width-alt: 512" width=14><COL style="WIDTH: 54pt; mso-width-source: userset; mso-width-alt: 2633" width=72><TBODY><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: #d4d0c8; BORDER-TOP: windowtext 0.5pt solid; BORDER-LEFT: #d4d0c8; WIDTH: 118pt; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" width=157 colSpan=3 height=17>3/15/2010 - 3/19/2010</TD></TR></TBODY></TABLE>

which is what I need.

The dates are formatted in DATEVALUE and I can't simply format the Cell on Sheet2 into the proper date due to the &" - "& function in the middle. The only solution I have arrived at is using three cells and merging the cells below to produce the wide fillable cells below on Sheet2 that I need. That seems messy and leaves the sheet open to formatting issues in the future.

Both Sheets are printable reports as well, so I need the dates on the Sheet1 to maintain their formatting. If anyone knows a solution to this issue, I would forever be indebted!

Thanks

Excel Facts

Copy a format multiple times
Select a formatted range. Double-click the Format Painter (left side of Home tab). You can paste formatting multiple times. Esc to stop
Take a look at the TEXT function to format the dates as you want them.:)

PS What do you mean by the dates are 'formatted in DATEVALUE'? Never heard of that.

Hey Norie,

DATEVALUE is a unique serial number that Excel assigns to a date internally to assist it with reformatting to a specific date or using it in a calculation (ie 3/20/2010 - 3/15/2010 = 40257-40252).

To access this funtion try typing

=DATEVALUE("3/15/2010")

into a random cell and you will get the serial number 40252 back as the result. If you type 40252 into a different cell and format that into a date, you will get 3/15/2010 as the result. You can also simply type in a date, change the formatting of that cell to general and it will give you the serial number. if you change the formatting back, WaLa, you have a date again.

My issue arises when I try to use the &" - "& and date together. it present the contents of the cells I want, separated by a dash like I need, but converts the date into the serial number, not a date format.

If we take date out of the equation (pun intended:ROFLMAO:) and look at the formula and results it works:

<TABLE style="WIDTH: 96pt; BORDER-COLLAPSE: collapse" cellSpacing=0 cellPadding=0 width=128 border=0><COLGROUP><COL style="WIDTH: 48pt" span=2 width=64><TBODY><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext 0.5pt solid; BORDER-LEFT: windowtext 0.5pt solid; WIDTH: 48pt; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right width=64 height=17>1</TD><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext 0.5pt solid; BORDER-LEFT: windowtext; WIDTH: 48pt; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent" width=64>1 - 6</TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>2</TD><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>3</TD><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>4</TD><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>5</TD><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>6</TD><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR></TBODY></TABLE>
with A1=1, A2=2, etc. B1 =A1&" - "&MAX(A1:A6)

I have the MAX funtion in there to display the highest date value, since the number of rows and order can change week to week.

My issue is when I try to add dates in A1:A6 it converts those dates into serial numbers and displays those serial numbers:

<TABLE style="WIDTH: 113pt; BORDER-COLLAPSE: collapse" cellSpacing=0 cellPadding=0 width=151 border=0><COLGROUP><COL style="WIDTH: 48pt" width=64><COL style="WIDTH: 65pt; mso-width-source: userset; mso-width-alt: 3181" width=87><TBODY><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext 0.5pt solid; BORDER-LEFT: windowtext 0.5pt solid; WIDTH: 48pt; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right width=64 height=17>3/15/2010</TD><TD class=xl66 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext 0.5pt solid; BORDER-LEFT: windowtext; WIDTH: 65pt; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent" width=87>40252 - 40257</TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>3/16/2010</TD><TD class=xl66 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>3/17/2010</TD><TD class=xl66 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>3/18/2010</TD><TD class=xl66 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>3/19/2010</TD><TD class=xl66 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR><TR style="HEIGHT: 12.75pt" height=17><TD class=xl65 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext 0.5pt solid; BORDER-BOTTOM: windowtext 0.5pt solid; HEIGHT: 12.75pt; BACKGROUND-COLOR: transparent" align=right height=17>3/20/2010</TD><TD class=xl66 style="BORDER-RIGHT: windowtext 0.5pt solid; BORDER-TOP: windowtext; BORDER-LEFT: windowtext; BORDER-BOTTOM: windowtext 0.5pt solid; BACKGROUND-COLOR: transparent"></TD></TR></TBODY></TABLE>

I've already tried to format B1 as date, but that changes nothing.

Here is an example of the only solution I can come up with:

<TABLE style="WIDTH: 155pt; BORDER-COLLAPSE: collapse" cellSpacing=0 cellPadding=0 width=206 border=0><COLGROUP><COL style="WIDTH: 48pt" width=64><COL style="WIDTH: 50pt; mso-width-source: userset; mso-width-alt: 2413" width=66><COL style="WIDTH: 9pt; B1 =A1
C1 = -
D1 =MAX(A1:A6)

but as you can see, it's messy with formatting. I can merge the cells below, but it's frustrating that I can't make excel format the serial number back into a date format.

Help!

No, DATEVALUE is an Excel worksheet function that will convert text that Excel recognizes as a valid date in to a 'real' date value.:)

Excel stores dates as integers.

If you type =DATEVALUE("3/15/2010") into a cell and then format that as a date you'll see a date.

Did you try the TEXT function?

=TEXT('Sheet1'!A1, "dd mmm yyyy")&" - "&TEXT(MAX('Sheet1'!A1:'Sheet1'!A10),"dd mmm yyyy")
