saving the user based data

I am working on a project in which I used a formula and created a kind of a software.what I need to do is that after my user enters certain data it is sent to a worksheet(as directed).now I want that data to remain saved there even when I am changing the inputs in the formula. what is happening is that my previous data is getting erased when I enter new variables to the formula .pls help its really urgent

to make my question more precise I will start it from scratch:This software is to be designed to reduce the manual workdone at business establishments.
Requirements: This is to be designed to stop the manuallisting of medicines which the shop is falling short of.
The design is to be made as follows:
For example, a shop has 10 distributers and each one of themis supplying a list of 20 medicines of 10 companies. We will be required tofirstly, record the data in any database system. Secondly, our front end needsto have a single textbox where the user enters the medicine his shop is fallingshort of. The software has to search thedatabase and enter the short medicine in the respective distributers. List so that atthe end of the day we get a separate list of distributers(10 different sheets) to whom we have to ordermedicines (along with the dist. Name we must have the list of medicines we haveto order), which means that we need to keep 10 black spaces in the softwarememory.<o:p></o:p>
