Excel file opens "File in Use" when update link in PowerPoint

I can't be sure if this is an Excel issue or PowerPoint but I figured I'd start here. I have an extra laptop running a Powerpoint presentation and displaying it on a TV monitor in a group office. The Slide Show is just a linked Excel object to a central file that the group can update. I have a VBA script that updates the link and refreshes the display in 10 sec intervals. Pretty straight forward but I'm having a problem when the source Excel file is open and the script tries to update the link on the monitor. When someone has the Excel file open it pops open an Excel session on the laptop with a "File In Use" dialog box thus preventing the PowerPoint from updating. Does anyone know how to stop the Excel file from opening when the link is updated, or is that something that needs to happen?

We are running office 2010.
