Clean VBA / Improve Performance - Cleans Excel Workbooks for Access, Runs Queries, Exports to Excel

Hello! For the past week I've been trying to automate a tedious process. I got this beast of glued together code working but I'm not good enough to make it clean, run quickly or make it more dynamic to spreadsheet sizes. I'll explain what it does and walk through all the modules.

I made it to clean my exports from SAP for import in to Access, run my access queries and export it as a formatted report. They come out as "|" deliminated CSV files with run information and page breaks.

1) Delete all old files after the last run:

2a) Covert all .CSV files to .XLSX,
2b) reopen .XLSX files
2c) delete all rows until it gets to the first row to keep as column headings
2d) Combine columns (required because SAP breaks the report in to multiple columns)
2e) Move new combined columns to a new sheet, delete old sheet
2f) Text-to-columns
2g) Clean pages by removing all page breaks (SAP prints out about 100 rows then breaks each page with infomation like this is "PAGE 100" and leaves like 8 blank rows and row 1 and 8ish will have "-----" breaks - not good for access)
2h) Trim all cells (remove all spaces - SAP will put in a bunch of random spaces before and after)

Set a flag: use a boolean and set it to true after the first occurance of the M| then once true the others are deleted.

Not sure how to do that....

Before you told me that, I deleted that 2nd loop and decided to try to do an autofilter then do the delete. So, I replaced some code. This is the new clean pages code:

Excel Facts

When did Power Query debut in Excel?
Although it was an add-in in Excel 2010 & Excel 2013, Power Query became a part of Excel in 2016, in Data, Get & Transform Data.
Is there anyway to make the loop run faster? Some of these workbooks have over 400,000 rows. It's been stuck on this one workbook for like 6 minutes now. Still going.

Yes your last solution will be a lot quicker, but you need lots of memory as well...

What it does is it puts the whole! table into an array (in memory) and then you can do everything in memory. The last step should be to write the array back to (in this case I think best) a new sheet.

Why it is faster is that reading and writing to excel takes time, so if you have 400000 rows and each takes a millisecond to read and write then you are 400 seconds in the running. With the array you have one (big)read and one (big) write, which will still take some time, say 10 - 20 seconds each.

But you have to do a lot more yourself, because there is no such thing as delete row in the array. SO you can either work with two arrays (redim the 2nd one same size as first) and then do the reverse: loop through the 1st array and copy the rows you want to keep to the 2nd. (each array will need a pointer to keep track where it is). Then dump the 2nd array to the sheet.

The 2nd array will have been oversized, but that is quicker than redim preserve each time

Also make sure you don't have any other sheets open. If these have calculated functions, they would be recalculating with every write. (You can disable this with

Application.EnableEvents = False
Don't forget to set to true at the end

Not confident in my ability to set that flag correctly. I think the autofilter after the text-to-columns is quick enough for now.

It's the looping that is the bottleneck right now.

I'm reading that a "For Each" loop might be faster than a "Do While" loop, is that true?

The way I had it before was faster but not as clean.

working with an array will be significantly faster however it needs a lot of memory. If we were to combine all the columns first, pop themin an array to find the lines to delete, then rough calculation at say 100 characters per line = 200 Bytes, then 400,000 lines = 80* 10^6 bytes = 80 MB

However Excel has more up its sleeve. Very much faster than looping through each cell is using Range.Find(). We can search for your start strings (and add PAGE, and ---- at the same time) and delete lines that contain that. So then we have probably reduced the 400,000 to 8,000 or so items tto be checked...

Ya, I was thinking about that but I didn't know how to articulate it. I just tested it and it's getting stuck in the new Range.Find() loop. It won't even get past the 1st file.

Previous script took about 25 seconds on the 1st file, about 1 minute on the 2nd and over 5 minutes (never completed) on the 3rd file. There are 3 more after but they are much smaller, they probably take 30 to 2 minutes each.

is it possible to put one of these.csv files in dropbox or so? If you want you can post the URL in a private message. it is very difficult for me to test the code otherwise.
