VB isn't an easy option because the workbook has to be heavily shared in a high (macro) security environment.

When you select the name from the list how do you know whether you should select a staff member or a freelancer?

the scheduler decides who to cover the shift with. it might be a member of staff on overtime (or 3 other types of cover method using staff) or a freelancer. Thats what she'll put in the 'covertype' cell, chosen from a validation list.

Well, if you had a cell with some kind of identifier or some other logical decision method then you could do something like this...

If "X" then use Staff list, If "Y" then use Freelancer list, else Neither

Or, just use 2 cells with separate lists?

I can't work out a way to use the 'if x or y' method with the dta validation. I've tried various combinations in the DV formula box but each has failed.

an extra box isn't really practical. my sheet is already huge at over 8000 cells (inc 40 shifts per day, 5 cells per shift and 365 days per year) and an extra cell (14,600 cells) would be best avoided. especially as that would mean entering the same info twice.

i think im probably looking for a more sophisticated use of the DV formula box?

Assuming:

A) the first drop down list where you're selecting "x" or "y" is in A2 down...
B) there is already existing a named range called "Staff" and another "Freelancer"

Then:

1) Select "x" in A2 for now, we'll remove it later
2) Select B2:B20000 (or however far down you need to go)
3) Apply these data validation settings:

Allow: List
Source: =IF($A2="x", Staff, If($A2="y", Freelancer))


4) Test the drop down in B2 and make sure the "Staff" list appeared
5) Change A2 to "y" and verify the "Freelancer" list appeared in B2
6) Remove the entry in A2 and make sure there is now no drop down in B2


When you're done, I can show you another trick for using a named FORMULA in conditional formatting to "light up" B2 when you go back and change A2 after you already made a choice in B2, thus creating an error scenario for the two values.

OK, how does the user decide whether to select a staff member or a freelancer?

Is there a cell with some kind of information that dictates this decision? If so, then we can use this to build a logical formula which will display the specific list that's needed.

If it's just a random decision made by the user then I don't think there's anything we can do.

If so, then we can use this to build a logical formula which will display the specific list that's needed. not that dictates it - only one that reflects it in so far as the choice in the cell will be 'freelance cover' or one of 4 other choices which are all forms of staff cover e.g. overtime

if I can expand the nested ifs in the previous post it might work.

Here's a section from my sheet. it continues down for a year and across by 37 shift types. As you can see there's no opportunity for an x or y either/or choice. The pull down in the 'covertype' row will either say FRLNCR or one of 4 other cover types which are all staff cover or remain unused because the original member of staff scheduled does not need replacing.
Can I extend your formula to nest an extra 3 IFs to cover all 4 staff types e.g. if A, B , C OR D then use STAFFLIST else use FREELANCELIST?
IN fact, i need to include blank in that list of staff cover types because if no-one needs covering, the SCHEDULEDrom still needs populating with a staff member when the schedule is created.

Here's a section from my sheet. it continues down for a year and across by 37 shift types. As you can see there's no opportunity for an x or y either/or choice. The pull down in the 'covertype' row will either say FRLNCR or one of 4 other cover types which are all staff cover or remain unused because the original member of staff scheduled does not need replacing.
Can I extend your formula to nest an extra 3 IFs to cover all 4 staff types e.g. if A, B , C OR D then use STAFFLIST else use FREELANCELIST?
IN fact, i need to include blank in that list of staff cover types because if no-one needs covering, the SCHEDULEDrom still needs populating with a staff member when the schedule is created.
If FRLNCR is the only entry that corresponds to freelancers then you only need a simple IF formula.

=IF(cell_ref="FRLNCR",FreeLance_List,Staff_List)

Where FreeLance_List and Staff_List are either the named ranges for the respective lists or the range addresses for the respective lists.
