Hello everyone,

I am facing a problem while formatting and creating a report in excel.
for eg
I have three columns, first is having time stamps in form of (12:30, 05:15...) second column being Name of the individual, and third column having two values (joined, left).

This is a raw data for an individual's joining and leaving time for office, access card swipe or application logging/logout time. I need to create a report based on this data having "Name" as first column, "Time in" as second column (first entry for joined in the data) , third column "Time Out" as leaving time (last entry of left in the data) and total shift time in the fourth column for the individual.

Please advice how I can create the report. Thanks in advance to all.

Sounds like you need to first split the first and third columns.

Split the first column by highlighting it, click the data tab and select "text to columns" on the data tools. Choose "fixed width" and keep clicking next and then finish. It should turn this column into 3 columns...one column should be just with the comma...delete that column. do the same thing for the third column and you should end up with 5 total columns on your spreadsheet. You can then just cut and paste the columns to put them in the correct order you want, and then in a new 6th column subtract the "shift in time" from the "shift out time" to get a total shift time.

and output should be like,

...

ok, highlight the time column and right click on the "time" column and select cut, then click on the column after the "name" column and select insert cut cells that will get it in the order you want. If you have both the time in and time out in the same column, those will have to be split out first.

If it was the case I would have done it :D. Thanks for your suggestion...but the issue is there are houndreds of individual records and all individuals have joined or left several times.
for eg, individual ABC, has 4 joined and 4 left entries. The first joined time will be his "Time IN" and last left would be "Time OUT".

ok...i guess i don't understand what the problem is then...makes it difficult when i can't see what your looking at because what you described you needed seems like a very simple fix. If there are different amounts of time in and time outs splitting them into columns is what makes sense to me.

right...people are joining and leaving several times in their shifts...I need to prepare report based on first joining and last leaving time reflecting total shift time.

ok, looks like the time reports with 4 digits and in military time? If so, you could try this. You will need 1 blank column, we'll call it C,
In column c put this formula =(RIGHT(A6,5))-(LEFT(A6,5)) assuming column A is the time column. If not, replace "A" with whatever column has the times.

This formula will look for the time in the farmost right of that column, which should be your "clock out" time and will subtract it from the time in the farmost left of the column, which should be your "clock in" time giving you the total time worked.

Thanks for replying.

How can I sort the timings for an individual....like my previous examples, suppose there are 100 employees, all are joining several times and leaving as well. This way we have several joined entries and several left entries for a single person. How can I pick the first joined time and last left time so that proper shift can be calculated. refer sample datasheet below from which I need to create a report,

The real problem is how to sort the timings based on joined/left. Hope you understand the problem.

=SUMIFS($A$1:$A$3,$B$1:$B$3,$F2,$C$1:$C$3,G$1)

I put that in G2

in g1 I have join
h1 has leave
f2 has the names
