Mailing list formula problem

hello-

I am in the mailing industry and have an interesting Excel problem/question. Basically, I am mailing a county's property tax assessment forms and need to figure out how many people are getting one form, how many are getting 2 forms, how many are getting 3 forms, etc since many people own more than one property (landlords for instance). This will allow me to save the county money by running their postage report as many seperate mailings (1 mailing of all the people who get one sheet, 1 mailng of all the people who get 2 sheets, etc)

So...how do I write a formula that will use the "Name" column and tell me that there are (numbers made up):

500 sets of 1 letter (500 people own one property)
400 sets of 2 letters (400 people own two properties)
300 sets of 3 letters (300 people own 3 properties)
...etc

any help would be greatly appreciated by me and the tax payers of the county!

How does your "table" look like, based on which you can make counts of how many for 1 letter, how many for 2 letters, and so on.

there are about 18,000 records I need to figure this out for.

Then a pivot table will be your friend :-)

Insert a pivot table, list the names in the rows and use a count in the data grid. With some basic rearranging and counting, you will have the results fairly quickly.
