outlook categorizing

hi guys,

My area of work deal with great amount of incoming emails. Currently, we have used colour categories for each of the team mates to mark when they are working on an incoming email. eg Ben=blue, greg=purple etc, and there is another category which states where the emails are from, from Marketing, client service, advisers. so at the end of the month, we are able to report to the managers about the figures about the emails.

My GM wanted to see whether we can build another category to know what the "theme" are on the monthly report. Essentially, so based on so many emails, what are the most interesting ones etc.

Now, can anyone help to suggest what way i can get around to this as we have so many emails and it would be painful to go through hundred of emails each month to find out what the most interesting emails are or what they're talking about.

Are you asking for some automated scanner/rules; because Outlook (I'm assuming Outlook) has that [so do other e-mail clients].

If you're talking more about flagging/tagging an e-mail "as it's worked"; then you can add custom fields, and populate with "themes" or "This is wierd", "error id10t", pibcak, whatever; then create a view to pull those aside at M/E.

To tie to Excel; Excel can look into Outlook to perform tasks; but you'd still have to define to Excel what to look for.
