Hi - first time poster here.

I'm trying to set up a spreadsheet to automatically calculate student grades.
The students sit two papers - a Basic paper and a tougher Advanced paper.

The Basic paper gives grades 7(the worst grade) up to grade 3. So the best score the students can get in this paper alone is a grade 3.

The Advanced paper gives grade 2 up to grade 1 (the best grade). However, if they fail to achieve a grade 2, they get no award for that paper, and I use the result from the Basic paper.

Basically, the best grade is used as the student's overall grade, and the other is discarded.
So if a pupil got a grade 3 in the Basic paper and a grade 2 in the Advanced, I would award them the grade 2.
Likewise, if they get a grade 4 in the Basic and No Award in the Advanced, I would award them a grade 4.


I've used two formulas:

  • one which takes the raw scores from the Basic paper and displays the appropriate grade (7 to 3) in cell J4

and

  • another which takes the raw score from the Advanced paper and displays the appropriate grade (either No Award, grade 2 or best of all, grade 1). this is in cell K4.

Summary:

Cell J4 = Basic paper grades from 7 up to 3.

Cell K4 = Advanced paper grades from 2 up to 1, however, students who do not achieve at least a grade 2 in this paper get no grade from this paper (cell would be blank).


Cell L4 = OVERALL RESULT - this cell displays the LOWEST number (i.e. highest grade) from the two papers. If the student got no award for the Advanced Paper, then the overall grade is the grade from the basic paper.

Sorry - not as simple as that because the values in J4 and K4 have been produced by formulae.

On another forum, I got told to try:

=IF(ISNUMBER(J4),J4,K4)

which works to an extent, except when the student fails the advanced paper and cell K4 is therefore a blank.

I've tried putting in a "9" instead of leaving it blank, but to no avail.

PS - posted on this forum because my computer won't let me reply top my original post and answer on the previous forum!

I give in.

=MIN(J4,K4)
Will work with J4 and K4 being formulae. If the student fails the advanced paper, L4 will result in J4's value

Or you could use
=if(isnumber(K4),K4,J4)

Sorry, just can't get either of those to work.

Here's a bit more info:

Student's raw score for Basic paper goes into cell F4
Student's raw score for Advanced paper goes into cell H4

Cell J4 displays the student's Basic grade using formula:
=IF(H4>10.5,"3",IF(H4>7,"4",IF(H4>6,"5","7")))


Cell K4 displays the student's Advanced grade using formula:
=IF(F4>10,"1",IF(F4>6.5,"2",""))

As for the problem cell, L4, it need to display the lowest number (the lower the number, the better the grade)

I've tried using both the

=MIN(J4,K4)

and

=IF(ISNUMBER(J4),J4,K4)


but neither of them work.

I'm self taught through bumbling about for years, learning from trial and error (and Youtube). It could be that the whole thing is wrong.

Help!

The problem is in your F and H formulae. The results are treated as text not numbers. Unless there is a reason that they have to be text, try changing them to:
=IF(H4>10.5,3,IF(H4>7,4,IF(H4>6,5,7)))
and
=IF(F4>10,1,IF(F4>6.5,2,""))
