Hi,

I have calculated data (the column and row headings are calculated as well) similar to this for which I need to create an automatically updating chart.

The chart should update if the data is filtered; so if a user doesn't want to see the 'orange' row they can filter the data accordingly. There is a finite number of rows and columns in the range but sometimes there will be less data. I have tried to convert the data to a table and that works quite well except the legend keys persist: so if there is no data for pillows and stickers the legends still appear and have to be removed manually. Also, there seems to be a bug in Excel 2007 whereby the removal of a chart linked to table data causes a persistent error message to appear.
I know that I need to created a named range for the data series using OFFSET, and I have also read that I need to refresh this formula using VBA but I am now very confused and none of my attempts quite work. Any help would be much appreciated.

Round to nearest half hour?
Use =MROUND(A2,"0:30") to round to nearest half hour. Use =CEILING(A2,"0:30") to round to next half hour.
How is the data being filtered? If you use an autofilter, create the chart based on the entire data range. Then filter and the hidden rows by default are hidden also from the chart.

Hi Jon,

Yes, that works normally. But sometimes the calculation returns no data at all in a given column and then I want to hide the column so that it's legend doesn't appear on the chart - but I can't seem to do this with a filter. Nor can I just turn the data around because the same issue applies to the other axis.

Perhaps this will help - it shows the data filtered by row and also the problem with the columns that do not return data displaying a legend key.

Are the categories Blue, Red, and Green always going to be present, or might they sometimes be filtered? If they are not filtered, transpose the data, and filter on zero values. If they are filtered, consider a pivot table approach, in which you can modify both the vertical and horizontal filters.

Hi Jon,

That is what I was trying (not very well) to explain, the colour categories are calculations that are already derived from a pivot table elsewhere and are entirely dynamic, the only thing fixed is the number of rows and columns, and then the user needs to be able to select which categories are displayed. Theoretically the data returned might only consist of one row and column, so my need is to find a way of setting the data series only for the data that appears. I have got as far as being able to select the categories (however they appear) using OFFSET and MATCH, courtesy of this excellent board and your own generous website.

The purpose of this exercise is to automate as much as possible of a lengthy process without resort to VBA.

If you have a pivot table somewhere, you can decide which items in each pivot field to show or hide. Click the dropdown arrow in the field button on the pivot table, and check/uncheck the appropriate boxes.

I appreciate that you are trying to point me to the most direct solution - and I had not considered that the rows could also be filtered through the pivot so that was useful. However I am still left with my conundrum. As I said the column and row headings are referenced through a pivot table: I have to allow for a maximum 14 possible column headings but I never know what they will be or how many of them will occur. Each column heading is therefore a direct reference to one of 14 possible cells which might or might not contain data. This in turn means that the column headings may return 0, and I can't use the pivot to filter the out the zeros because the pivot only contains the actual data. I laid it out this way because of all the variables in the original data.

Unless you use a pivot chart, I'm not sure there's any way to avoid some VBA.

Hi Jon,

I have now managed to define a range name that seems to work:

=OFFSET(GRPs!$A$57,0,0,MATCH("*",GRPs!$A$57:$A$77,-1),MATCH("*",GRPs!$A$57:$P$57,-1))

'GRPs' is the real name of the sheet and obviously the cell references refer to that. I gave this a name ('ChtGRPsStationValues') and used it as my series reference for the chart:
=GRPs!ChtGRPsStationValues
The problem now is that when I add/change data the chart does not automatically refresh, I have to manually insert the series range name again because it has become absolute. Somewhere on this board I found a VBA snippet that did exactly that for any chart on a page (and I will have about six charts on each of three worksheets) but I forgot to bookmark it and didn't save it after trying it out! Any ideas?
