need help:data validations and sharing.

I am creating a database in excel with mobile numbers, vehicle numbers along with their names of a few hundred people running on three systems connected through a switch (LAN)

My problem is, I need to submit the unique entries only. I have to check the new entries with old database (saved in a separate sheet) and at the same time make sure the entire entries should be unique. For this, I had put on data validations, for the ongoing new entires. But, how to share data on three systems at once, on three systems to save the effort and time. If the data base is shared between 3 systems, then it will be easy to find out the duplicate entries. Now, I am doing manually, by merging them together into a separate sheet and removing the duplicate entries. Its painful for me to remove the entries, as I am wasting a lot of working hours..

I am a freelancer and new to excel's advanced options. I found that some one here can really help me after going through a few archives.

Excel Facts

Select all contiguous cells
Pressing Ctrl+* (asterisk) will select the "current region" - all contiguous cells in all directions.
Three possibilities come to mind:

1) The advanced filter has an option to filter unique records only. You could manually combine all data to a single worksheet then compare the result with the old database (using VLOOKUP) to see which items were new.

2) The pivot table can be used with multiple input regions (worksheets) this would allow you to quickly see if there were any duplicates and see which worksheets they were in. As well as which were new.

3) A code-based solution.
