Pivot Table grouping hours

Hi newbie here and not overly skilled in Excel, but I survive, anyway this one I can't seem to solve so need to seek some expert help on it.

I have been collecting data automatically for access to a system and receive a weekly report on the activity, I then create a pivot table with some of the relevant information, but the one I am lacking currently is being able to create the pivot with the number of accesses per hour.

I pivot the days, but I can't work out how to group the hours.

Poor sample I know, but any help on how to do this would be great.

The group function for hours works fine with that data when i tested it, but it most likely won't work because you've built your pivot table to look at the entire column so you can just add more and refresh. If there are spaces or blanks in a date sequence, pivot tables don't like them.

At that point, your options are to adjust your pivot table and use it's built in grouping, or to create a helper column in your source data with =HOUR(B1) which will return the hour (9 for 9am or 21 for 9pm).

Ok, well on the existing data (which I have already modified from the source that gets sent to me) your =Hour(A1) works but because I have the AM/PM in it's own column I have to pivot like this:

Which will work for me given that I already have 22 weeks of modified data, tomorrow morning when I get the last weeks data I may ask hour to do it when the time and date is in one cell.

The exact same function will work with time/date in the same cell.

Time and dates are stored as serial numbers, so 3/5/2011 3:45:00 AM is stored as a number in excel as 40607.15625.

The 40607 is the date piece, and the decimal portion is the time piece so you wont have any problems. (Note that my example uses US date format of mm/dd/yy)

Sweet, so I will be able to create a macro to do most of the work on the raw data every week and if will show the time as 24hr so wont need to have the pivot show like it is.

Ok, so using the group function for the pivot table works really well on the raw data, but how do a create 2 pivot table lists that show the day on one list and the hour on the other?

When I insert a second list and change the group filter it changes both the tables... there must be a way to seperate the lists to be independant using the same source data?

There are a couple of options. You can make two separate pivots so that they aren't dependant on eachother (just go through the wizard twice). The other option is that with the grouping, you can group by hours AND days. What that would do is actually make two date fields, one for the days and one for the hours. You can then keep the hours as sub categories of the day, or you can remove the day field so that you are left with just hours.

Right, is that with Excel 2010? I have tried running the pivot table wizard twice (i.e insert pivot table from the ribbon) but they still seem to be connected.

The grouping by day and then hours doesn't really do what I want either as it totals the days and the hours on each day not the total across x number of days at each hour.
