excel and access linking + shared workbook

I have a workbook that feeds data from an access spreadsheet.
everything works awesome..... except

the workbook needs to be shared, when i share it i am unable to right click on the data from access and refresh ?, i have the possible option of using the auto refresh when workbook opens, but would like to try and avoid this

Any ideas, im using office 2011

oh to add to the above i have just tried the auto refresh data option when the workbook is shared.... no go :( !!!, the data is displayed as a pivot table
