Free text, with SQL query in Excel

Hi, just wondering if the following is possible:-
I already have an SQL query running in Excel that is File 1 which is viewed in the UK.
I also have another File (File 2) which is viewed in India, the columns on this are just showing columns from File 1.

File 2
A, Purchase order
B, Item Code
C, Description
D, Hand Over Date
What is required is the next 2 columns to be free type cells that will stay in sync with the other data!
obviously when new data is updated, on opening the sheet, it will move the lines down and all data that was free typed will not move down to stay in there correct row?

Is there a way round this, that anyone can think of, any help would be appreciated.
