Is there a way to share a document so that multiple users can change and add to it at the same time? If so, how can we set it so that if one user is trying to use a certain invoice number it will stop another user from using it, or pop up with a comment that someone else is currently using that invoice number.

I'd suggest that you first read the Excel Help on "Shared Workbooks." That should answer a lot of your basic questions. Then you can decide if such a thing is what you really want to do.
