Excel as Database - Word merge unique records

Hi.
I am trying mail merge my data file in excel with word. I want the word doc. to have all un-repeated portions of the data. Basically, I need to send letters to all my customers giving a statement of their account containing their cheque details and demands raised by us.
A snap shot of my data file is as under:

In the above file Apt. Nos. are input. Col. B, C and D are vlookup entries and all further columns are inputted manually.
Output expected as under for Apt. No. T-0101 in mailmerge word document

{} Denotes automatically inserted values / text from excel Data file
[] These values are input by the system and calculated.

Please note there is no limit to the number of entries that are imported by word and mail merge seeks the entries based on flat nos.

I would require a very flexible system that I can use for other kinds of mail merge functions too.

NB: I am not a qualified user of excel but with lots of passion. Please bear my further questions.
