Linking data to a vlookup tabke

I'm currently working on a spreadsheet and have encountered a problem.

I've got a master raw data spreadsheet, and have set up another workbook with a data table, pulling filtered data from the raw data workbook (filtered to only show open cases). I have then set up a series of vlookups running from this data table, to allow for comments to be added onto neighbouring columns.

When a case is closed, the data table updates and the case disappears from it and from the vlookup table. However, any of the comments that had been added are still there, so they wouldn't correspond to the right case

Is there anyway to ensure that, when the data from a vlookup table changes, the neighbouring columns also change?

I've created the below document which has an example of what I've got.

Which Excel functions can ignore hidden rows?
The SUBTOTAL and AGGREGATE functions ignore hidden rows. AGGREGATE can also exclude error cells and more.
